Your data
You keep ownership of everything you put into sourcesignal. This page covers who on your team sees what, how to download a copy or delete it, and how long it is kept.

The Terms say it plainly. You keep ownership of everything you put into sourcesignal and of the outreach you send, and you can export or delete your data at any time.
Use this page when you add someone to the team, take a copy of your work, close a project or the whole organization, or set things up for a client.
Who can see what
Everything belongs to one organization: its projects, members, mailboxes, do-not-contact list and plan. Access is limited to that organization and is enforced in the database itself, not only in the app.
| What | Owner | Admin | Member |
|---|---|---|---|
| See every project | Yes | Yes | By default, unless narrowed |
| Download the organization's data | Yes | Yes | No |
| Archive, restore or delete a project | Yes | Yes | No |
| Delete the organization | Yes | No | No |
To narrow a member, open Settings, then Members, and press the projects chip on their row (it reads "All projects" by default). Uncheck "All projects", check the projects they should reach and press "Done". From their next page load, every other project disappears for them: in the project switcher, reports, opportunities and outreach. Owners and admins always see every project. Members and roles covers roles and invites.
Some things are shared across the whole organization, whichever projects a member can reach:
- Mailboxes. Any connected mailbox can be picked as the sender for a sequence.
- Do not contact. Every outreach send in the organization refuses the addresses and domains on the list.
- The Ahrefs API token. Only your organization can see or use it. Once saved, it is never shown again.
A few things reach beyond your team, and you can shut each one off:
- Share links let anyone with the link read a report or briefing without signing in. Of your wins, a shared report shows only placements verified live. Agreed placements, pending checks and pitch details stay inside the app. Revoking a link turns it off at once. See Sharing, printing and briefings.
- Agent tokens let your own agent work as you, limited to the scopes and projects you give it. Revoking a token stops the agent immediately. See Agent scopes and limits.
- Support conversations are read by the people on your account and the sourcesignal team.
When you remove a member, they lose access immediately. The data they created stays.
Download your data
The download is a zip of spreadsheets for the organization you are in. Owners and admins can take it.
- If you belong to more than one organization, switch to the one you want first.
- Open Settings, then Organization.
- On the "Your data" card, press "Download your data".
- Open the zip. It holds six files and a README.
| File | What it holds |
|---|---|
| projects.csv | Every project, archived ones included |
| prompts.csv | The prompts each project tracks |
| opportunities.csv | Each opportunity: its page, status, priority, the AI review's summary and your notes |
| contacts.csv | The contacts found for your opportunities, with their verification status |
| sequences.csv | Your outreach sequences and their status |
| messages.csv | The emails your sequences sent and the messages in your connected mailboxes |
| README.txt | When the export ran, and any file that was cut short |
Good to know:
- Each file stops at 50,000 rows. The README names any file that hit the limit; contact support for the rest.
- Very long text, such as a long email body, is cut short in its cell.
- Dates are in UTC. Lists and structured fields are written as JSON text.
- A cell that starts with =, +, - or @ is saved so your spreadsheet shows it as text instead of running it.
- If the README says a file could not be read in full, download again in a moment.
- The stored AI answers are not in the download. The opportunities queue has its own "Export" for the rows in view, and reports and briefings print to PDF.
The download still works when an account is held, for example after a trial ends or a payment fails. The screen a held account sees in place of the workspace has the same "Download your data" link for owners and admins. Under the Terms, your data stays available for export for 30 days after termination.
Delete a project
Archive a project if you might want it back. Delete it only when you are sure. Both need admin or owner access.
- Open the project's settings and go to "Access and archive", the last section.
- Press "Archive project" to hide it. It leaves the switcher and the project cards, its data is kept, and it stops counting toward your plan's project limit. To bring it back, press "Restore" under "Archived · N" on the Projects list (choose "Manage projects…" in the project switcher).
- To delete for good, press "Delete permanently", type the project's exact name and press "Delete forever". Every prompt, opportunity, sequence and import in the project is deleted.
A very large project can take more than one try. If you see "The delete didn't finish. Try again to pick up where it stopped.", press "Delete forever" again.
Delete the organization
Only an owner can delete the organization. Deleting it removes every project, prompt, import, opportunity, outreach sequence and team membership in it, for every member.
- If the organization is on a paid plan, cancel the plan in Billing first. Until you do, the delete is refused with "Cancel your plan first".
- If you want a copy, press "Download your data".
- Open Settings, then Organization, and press "Delete this organization" in the "Danger zone".
- Type the organization's name and press "Permanently delete". The button reads "Deleting…" until it finishes.
You then land in your next organization, or on the screen for naming a new workspace if you have none left.
How long data is kept
The Privacy Policy sets these periods:
| Data | Kept for |
|---|---|
| Account data: names, email addresses, organization and sign-in records | The life of the account, then 30 days |
| Outreach and reply data | The life of the project, then 90 days |
| Billing records | As long as tax law requires |
| Logs | 30 days |
- A held account keeps everything you tracked. Choosing a plan or paying the open invoice brings it all back.
- Disconnecting Google Analytics 4 and Search Console deletes the stored connection token immediately. Daily traffic figures already pulled in stay in the project's report history until the project is deleted or you ask for them to be removed.
- To ask for access, correction, deletion, restriction or portability, or to object, write to hello@sourcesignal.ai. Requests are answered within one month. Write there too if you want your own personal data deleted. Leaving an organization only ends your access to it.
When you work for a client
The Privacy Policy sets out who is responsible for what. When you research and contact people on behalf of your clients, you are the controller of that data and sourcesignal acts as your processor.
- One project per client keeps each client's prompts, opportunities and outreach apart. In Members, you can limit a member, such as a freelancer or someone on the client's staff, to that client's project.
- A separate organization gives a client its own plan, bill, members and mailboxes. Choose "New organization" in the account menu. You can own up to five.
- Requests from people you contacted. If someone emailed through the platform writes to hello@sourcesignal.ai to be removed, their address is blocked from all sends across the platform and the request is passed on to you. When you triage a reply as do not contact, the address goes straight onto your list. See Do not contact.
- Handing data back. The download covers every client in the organization. Each row carries its project's id, and a sent email carries its sequence's id, so you can filter out one client's records in a spreadsheet. A mailbox message that matches no project carries no project id. Then archive or delete the project.
