Statuses and the review gate
Every opportunity carries a status, from New to a verified Live placement. The AI review stops at AI reviewed; you decide what moves from there, and approving a page protects it from later runs.
Updated October 22, 2026Markdown
Every page in Opportunities carries a status: where it sits in your workflow, from "New" to "Agreed to place" and on to a verified "Live placement". You read it in the table's Status column, under "Your progress" in the detail panel, and as the "Stage" group in Filters. The AI review takes a page only as far as "AI reviewed". From there on, you decide.
The stages in order
| Status | What it means | Who moves a page here |
|---|---|---|
| New | Freshly imported. Nobody has decided anything yet. | The daily data update |
| AI reviewed | The AI review has grouped, scored, classified and recommended. Untouched by a person. | The AI review |
| Approved | You shortlisted the page. The autopilot and your deck can pick it up from here. | You |
| Contact needed | Promoted to outreach, but research found nobody to pitch. | Promotion |
| Outreach ready | Has a contact and a draft, waiting for your approval in the Outreach review queue. | Promotion |
| Pitched | The first email has gone out. | Sending |
| Follow up | A follow-up email has gone out. | Sending |
| Agreed to place | The publisher said yes. Nothing is live yet. | You |
| Live placement | A verified win. Follows the win record; cannot be set by hand. | The win record |
| Lost | The publisher said no, or the pitch closed with no placement. | You |
| Parked | Set aside for now. Hidden from the default view. | You, or the platform |
| Rejected | Turned down before any outreach. Hidden from the default view. | You |
| Live already | Your brand was already on the page. Recorded, not a win. Hidden from the default view. | You |
Who moves a page
The data update brings cited pages in as "New". The AI review then sorts each one into a page type, gives it a 0 to 100 priority, sets its opportunity type, recommends an outreach approach, and leaves it at "AI reviewed". That is as far as it goes: it never approves, rejects or promotes a page, and running it again is safe.
You move a page from the table's Status dropdown, from "Edit" in the detail panel (the Status field under "Your progress"), from the selection bar ("Reject", "Live already", or "More actions", then "Set status" under "Update selection"), or with a key in Review by hand. Every move you make lands in the page's History as "Status changed", with any reason you typed.
Promotion, by you ("Promote to outreach", or Shift + A in Review by hand) or by a rule you switched on, shows "Promoting…" while a contact is found and a sequence is drafted. With both, the page moves to "Outreach ready" and its draft waits in the Outreach review queue. If research finds nobody, it moves to "Contact needed": add or research a contact from its Outreach tab and promote it again. If "Find contacts" on the selection bar saves one with an email address, the promotion picks up again on its own.
Sending moves the rest. The first email out sets "Pitched"; a follow-up that goes out sets "Follow up". A send never moves a page that is further along or set aside: "Agreed to place", "Live placement", "Lost", "Parked", "Rejected" and "Live already" stay as they are.
Three more hands move pages:
- Deciding a reply. On the deck's reply card, "Agreed to place" moves the page there, "Lost" and "Do not contact" move it to "Lost", and "Mark interested" moves nothing. The inbox offers the same four decisions as "Agreed", "Lost", "Do not contact" and "Interested". "Mark as win", in either place, records the win and the page shows "Live placement".
- The Wins report: a win recorded and verified there moves the page to "Live placement". If a later check no longer finds your mention and the win is marked removed, the page returns to "Agreed to place".
- The deck: "Park" on a "Promote?" or "Needs a contact" card parks the page; "Mark lost" on a "Follow-up due" card marks it "Lost". Spot's change cards and a connected agent follow the same rules, and the Engine room log credits each move to you or to your agent.
Automatic parking
The platform parks a page on its own in two cases:
- A page at "New" or "AI reviewed" that no longer links to any prompt you track, because the prompt was removed or the page was cited only for untracked questions. Track a prompt that cites it later and it comes back on the same update.
- A page at "AI reviewed" that the platform sets aside as not worth pitching, unless you pinned it.
Pages you parked yourself are never brought back automatically, and automatic parks write no "Status changed" line in History. Nothing is deleted.
The review gate
"AI reviewed" is the gate between the AI's work and yours. A page leaves it when you decide (approve, promote, reject, park or mark it Live already), when a promotion rule you switched on picks it up, or when the platform parks it as above. Even then, promotion only creates drafts; nothing sends until you approve one, or Spot or your agent launches it where you set "Emails and posts to publishers" to Apply at once (see Reviewing and launching).
Approving protects the page from later runs. From "Approved" onward the AI review leaves a page alone: later runs do not rewrite its priority, page type, opportunity type or recommendation, so a number you acted on never moves under you. The AI steps on the selection bar skip those pages too. A page you have already approved, pitched or won keeps the priority it was worked on. Approved pages are never parked automatically either.
Review by hand
"Review N by hand" on the Opportunities toolbar walks the filtered set one page at a time, a key per decision. Filter first: the set is fixed when you press Review.
| Key | Button | What it does |
|---|---|---|
| A | Approve | Moves the page to "Approved". No AI runs. |
| R | Reject | Moves it to "Rejected". Any draft or sequence is canceled; you are asked first if an email has gone out. |
| L | Live already | Moves it to "Live already". Not a win; any outreach on it stops. |
| M | Maybe | Changes nothing. The page is back the next time you review. |
| Shift + A | Approve and promote | Approves and starts a contact search and an AI draft. Nothing sends without your approval. |
| Enter | Open page | Opens the page in a new tab and decides nothing. |
| ← | Back | One card back. A decision already taken stays taken. |
Decisions save as you go, and your place is kept on this browser for seven days. Over 200 pages the pass asks first, with a time estimate and a way to narrow to "Untouched only".
Moving a page backwards
Moving a page into "New", "AI reviewed", "Approved", "Contact needed", "Parked", "Lost", "Rejected" or "Live already" cancels the outreach underneath it. A draft waiting for review is deleted. A sequence that has started is stopped, so nothing further sends. Emails that already went out stay on record.
If an email has already gone out, you are asked first: "Move this page and stop its outreach?" lists each publisher and what stops, and "Move and stop outreach" confirms. If an email is still sending, that page can't move until the send is confirmed. A bulk move covers at most 200 promoted pages at a time.
"Outreach ready", "Pitched", "Follow up" and "Agreed to place" cancel nothing: a sequence is doing its job there.
Live placement, Live already and the hidden statuses
"Live placement" is the one status you cannot set. A win is a verified live placement, so the status follows the win record on the Wins report: record a placement there to mark a page live, or set "Agreed to place" if the publisher has only said yes. The rule runs both ways: a page showing a verified placement cannot be moved out by hand either; mark the placement removed on the Wins report instead. See Wins and verification.
"Live already" is the opposite case: your brand was on the page before any outreach. It is kept as a record, not counted as a win, and takes the page out of play. If you did place it, record the win from the Wins tab instead.
"Parked", "Rejected" and "Live already" pages stay out of the table until you ask for them. Open "Filters" and check the status under "Stage", or press the "Live placement" chip to see every page your brand is on, won or already there. Nothing is deleted, and you reopen any page by changing its status.
Good to know
- On the selection bar, "Reject" takes an optional reason, "Why? (optional)", up to 200 characters, saved with the status change in each page's History.
- Your promotion rules pick up pages at "AI reviewed" and "Approved" (a pinned page also from "New") and skip pages that already link to you. See Auto-promotion and reply rules.
