Auto-promotion and reply rules
Rules that turn matching pages into drafted pitches for your review, the switches that steer what Autopilot works on, and the reply conditions the AI flags so you look first.

Auto-promotion rules keep your outreach queue fed without you promoting every page by hand. A rule names the pages you want pitched, in the same terms the Opportunities filter uses, and from then on Autopilot promotes the pages that match, up to a daily limit: it finds a contact, drafts a sequence and leaves it under Needs review for you. The same screen holds the steering switches that decide what Autopilot works on at all, and the reply conditions the AI watches for so a reply that needs a person reaches you before anything else happens.
You use it once when a project starts, to check the default rule, and again whenever you want more or fewer pages drafted, a different mailbox behind one kind of page, or a new reply condition flagged. Open it from Outreach: "Set up", then "Auto-promote & reply rules". It is also the "Rules" step of the Autopilot area, the "Manage rules" link on the Autopilot console's Auto-promotion row ("Add a rule" while the project has none), and "Edit rules" in the engine room.
What you see
The page is headed "Auto-promotion rules": "Rules continuously promote matching opportunities to outreach, resolving a contact and AI-drafting a sequence for your review. Creates drafts only; nothing sends without your approval."
- The master switch. "Master switch: auto-promotion is ON" or "OFF". On, it says "Every rule marked Running below promotes on each pipeline cycle." Off, "Nothing promotes until this is on. Rules below keep their own switch." A warning appears when the two disagree: the master is on but every rule is off, or rules are set to run while the master is off.
- Rules · N. One row per rule: its name, a badge ("Running", "Running when master is on" or "Off · not promoting"), its criteria in one sentence (for example "page type: Review · topic: Pricing", or "Matches every eligible opportunity") and "Sends from" the mailbox it uses or "project default". Each row has "Switch on" or "Switch off", an edit pencil and a delete button.
- Steering · N. Two channel switches and the steering rules in force.
- Reply monitoring. The always-on rule and your own conditions.
What a rule filters on
"New rule" opens the editor; the pencil on a row opens the same editor as "Edit rule". Every field except the name is optional. Leave one blank and the rule does not narrow on it.
- Name. Required, and unique within the project.
- Priority score. A range slider from 0 to 100. "Only opportunities inside the range match this rule." "Why this score" on the deck's Promote? card, and the "Priority score" hint in the detail panel, name the reasons for that page.
- Page type (defaults to any). The kind of page the AI assigned on import, the Group column in Opportunities: "Besticle / Listicle", "Comparison", "Review", "Editorial / Publisher", "Directory", "Expert Contribution", "Forum / Community", "Other", or "Ungrouped" for pages not grouped yet.
- Stage (defaults to any eligible). "AI reviewed", "Approved" or both. A rule never takes a page in any other status, and never one that was already promoted.
- Opportunity type. The AI's commercial read of the page: "Outreach", "Content", "PR/Authority", "Consider" or "Ignore".
- Prompt topic. Your project's topic groups, plus "No topic".
- Send drafts from. A connected mailbox, or "Project default mailbox" to use the project's default sender, set under Outreach identity in project settings.
- Check matches. Counts the pages that match right now: "N opportunities match right now". A "+" means at least this many. Only pages that are AI reviewed or approved and were never promoted count.
- Run this rule. Checked for a new rule. "Promotes matches on every pipeline cycle while the master switch is on. Uncheck to save it without running it."
"Save rule" saves it. A running rule starts straight away: "The autopilot is running it now. Watch the engine bar at the bottom of the page."
What a rule does
Each time Autopilot runs, every running rule scans the eligible pages and promotes the ones that match, the highest priority first. For each page it finds who to pitch and drafts a sequence from your templates and outreach prompt. The draft lands under Needs review in Outreach and as an Approve draft card in your deck. When research finds no verified inbox, you get a Needs a contact card instead. Nothing sends until you review and launch it, or Spot or your agent does where you set "Emails and posts to publishers" to Apply at once.
Rules promote at most 30 pages a day in a project. When no rule will take a waiting page, the deck deals scored pages to you as Promote? cards instead, and "Why this card" says why the call came to you: for example, auto-promotion is off, no rule is switched on, or none of your rules matches a waiting page.
A page a rule promoted says so. In the Why this page pane beside the draft, "Your history" reads "Promoted by a rule", and opened it names the rule and the date: "by the rule <name> on <date>". A page you promoted yourself reads "Promoted by hand".
The default rule
Every new project starts with auto-promotion on and one running rule for high-priority pages. It narrows on nothing but the priority range and sends drafts from the project default mailbox. The Autopilot console's Auto-promotion row shows it as on, with the rule's name. It is yours: move its range, add a page type or topic, switch it off or delete it like any other rule.
Reply monitoring
"Every reply already stops its sequence. AI then reads it, and replies matching a rule below get flagged needs attention in Sequences so you look before anything else happens."
One rule is built in and marked "Always on": "Negative sentiment: the reply declines, complains, or asks to stop". Under it you write your own conditions in plain words, one per line, for example "They ask to be paid for the placement". "Add rule" adds a line, the bin removes one, and "Save reply rules" saves the set. "Write each rule as a condition in plain words. The AI checks it against the reply."
When a reply matches, its sequence moves to Needs you in Outreach, and its row and its window say "Matched your rule" followed by your words. Open the conversation in the Inbox to answer or triage it. A match only flags the sequence. It never answers the reply for you.
Steering
"Steering · N" covers "What Autopilot works on and what the deck deals. A switch here and a sentence to Spot write the same rule; a rule is ended, never edited."
- Community posts. "Replies and new posts in threads and forums."
- Listings. "Listings and profile claims on directories and review platforms."
Switch one off and it reads "Off: nothing is drafted and nothing is dealt." The toast credits you: "You switched listings off. Autopilot stops drafting for them and the deck stops dealing them." Switch it back on and the rule naming it ends.
Each steering rule in force is one sentence, such as "No listings", with how it was set: "set here", "set through Spot", "set by your agent" or "suggested from your decisions". "End rule" ends it: Autopilot works on those pages again and the deck deals them on its next deal. The same rules show as chips above your deck, where the × asks "End this rule?" and reminds you that everyone on the project sees the change. With none set, the section reads "No steering rules. Ask Spot ("no listings"), or switch a channel off above." Spot writes exactly the rule a switch here writes.
Steering decides what is drafted at all. Promotion rules decide which of those pages are promoted for you. Posts and listings that are drafted wait under Posts for you to publish yourself.
How to create a rule
- Open Outreach, "Set up", then "Auto-promote & reply rules". Check that the master switch reads ON.
- Press "New rule" and name it.
- Set the priority range, then pick any page type, stage, opportunity type and prompt topic chips you want. Blank means any.
- Pick "Send drafts from", or leave "Project default mailbox".
- Press "Check matches" to see how many pages match today. Widen or narrow the rule until the count looks right.
- Leave "Run this rule" checked and press "Save rule". The engine bar shows the run, and the drafts land under Needs review.
Editing, pausing and deleting rules
- Edit. The pencil opens "Edit rule". Saving it with "Run this rule" checked runs it at once with the new criteria. Pages it already promoted keep their drafts.
- Pause one rule. "Switch off" turns its badge to "Off · not promoting". "Switch on" resumes it, and the master switch must be on too.
- Pause everything. Turn the master switch off. Rules keep their own switch, so turning it back on resumes the ones marked Running. The same switch sits on the Autopilot console's Auto-promotion row and in the engine room's Rules & levers, where each rule has its own switch as well.
- Delete. The delete button asks "Delete "<name>"?": "This rule stops auto-promoting. Opportunities it already promoted keep their drafts."
Limits
| What | Limit |
|---|---|
| Pages promoted by rules | At most 30 a day per project, the highest priority first |
| Reply monitoring rules | Up to 10 of your own, each up to 300 characters and at least a short sentence |
| Rule names | Unique within the project |
| New rules | Need an active connected mailbox |
Good to know
- A rule runs only while the master switch and its own switch are both on. The Auto-promotion row on the console says which one is the reason nothing moves: "Off", "On · every rule is off" or "On · no rules yet".
- A rule creates drafts only. Every draft takes the same path as a page you promote by hand: Needs review, your sign-off, Ready to launch, your launch.
- A promotion rule is edited in place. A steering rule is never edited: you end it, and set a new one if you need one.
- Reply monitoring reads every reply, whichever rule or person promoted the page. Negative sentiment is checked whether or not you add rules of your own.
