Statuses
Every page, sequence and conversation in sourcesignal carries a state. This reference lists each opportunity status, sequence stage and conversation state, what it means and what moves it.
Updated October 22, 2026Markdown
sourcesignal keeps three kinds of state. A page in Opportunities has a status. A sequence in Outreach sits in a stage. A conversation in the Inbox shows whose turn it is. Use this page when a chip or a tab count needs explaining, or when you want to know what moves something on.
Most moves are yours. The platform moves a few on its own when a fact changes: an email goes out, a reply arrives, a placement is verified. Promotion rules only create drafts, and nothing sends until you launch it, or Spot or your agent does where you set "Emails and posts to publishers" to Apply at once.
Opportunity statuses
A page's status shows in the Status column of the Opportunities table, under "Your progress" in the detail panel, and as the "Stage" group in "Filters". You change it from the Status dropdown, with "Edit" in the detail panel, from the selection bar ("Reject", "Live already", or "More actions", then "Set status"), or with a key in "Review N by hand". The dropdown offers every status except "Live placement".
| Status | What it means | What moves it |
|---|---|---|
| New | Freshly imported. Nobody has decided anything about it yet. | The data update brings it in. The AI review moves it on. |
| AI reviewed | The AI review has sorted the page into a type, given it a 0 to 100 priority, set its opportunity type and recommended an approach. No person has touched it. | The AI review, after each data update. It never takes a page further: you, or a promotion rule that is on (a new project starts with one), move it on. |
| Approved | You shortlisted the page. Autopilot and your deck pick up from here. | You: the Status dropdown, "Set status", or A in Review by hand. |
| Contact needed | Promoted to outreach, but research found nobody to pitch. | Promotion, when no contact turns up. When "Find contacts" finds an email address, drafting picks back up on its own. You can also add a contact and promote the page again. |
| Outreach ready | The page has a contact and a drafted sequence waiting under Needs review in Outreach. For a thread, a directory or a review site, a drafted post waits under Posts instead. | Promotion, once both exist or its post is drafted. The first email going out moves it to Pitched. |
| Pitched | The first email has gone out, or you marked its post done. | Sending the first email, or marking a post posted, submitted or claimed. |
| Follow up | A follow-up email has gone out. | Sending a follow-up. |
| Agreed to place | The publisher said yes. Nothing is live yet. | You, or triaging a reply as "Agreed". A win that is later removed also lands here, so the page can be pitched again. |
| Live placement | A verified win: a published page confirmed to carry your mention. | The win record only: a confirmed win on the Wins report, or "Mark as win" in the Inbox or on the deck's reply card. You cannot set it by hand. |
| Lost | The publisher said no, or the pitch closed with no placement. Kept so the history is complete. | You, or triaging a reply as "Lost" or "Do not contact". Dismissing an undecided reply card, or an overdue "Follow-up due" card, in the deck does the same. Closing a reply reminder moves nothing. |
| Parked | Set aside for now. Hidden from the default view. | You, dismissing a "Promote?" or "Needs a contact" card in the deck, or the platform on its own (see below). |
| Rejected | Turned down before any outreach. Hidden from the default view. | You: "Reject", or R in Review by hand. |
| Live already | Your brand was already on the page before any outreach. Recorded, not a win. Hidden from the default view. | You: "Live already", or L in Review by hand. |
While a promoted page is being prepared, its Status cell reads "Promoting…" and its Contacts cell "Finding a contact…". That is not a status of its own. The page lands on "Outreach ready" once it has a contact and a draft, or on "Contact needed" if research finds nobody.
Rules that hold across statuses
- Sends only move a page forward. An email going out moves a page at New, AI reviewed, Approved, Contact needed or Outreach ready to "Pitched", and a follow-up moves it to "Follow up". A send never moves a page at "Agreed to place", "Live placement", "Lost", "Parked", "Rejected" or "Live already".
- Live placement follows the win record, both ways. You cannot move a page into it or out of it by hand. If a win is marked removed, or the placement check no longer finds your mention, the page returns to "Agreed to place". Triaging a reply never moves a page that shows a verified placement. See Wins and verification.
- The platform parks two kinds of page. A page at New or AI reviewed that no longer links to any prompt you track, and a page at AI reviewed that the platform sets aside as not worth pitching, unless you pinned it. A page parked for the first reason comes back on its own when a prompt you track cites it again. Pages you parked yourself stay parked until you move them.
- Hidden is not deleted. Parked, Rejected and Live already pages stay out of the default table. Check them under "Stage" in "Filters", or press the "Live placement" chip to see every page your brand is on, won or already there. You reopen any page by changing its status.
The review gate and Review by hand are covered in Statuses and the review gate.
Sequence stages
A sequence is one pitch to one person: an initial email and its follow-ups, sent from one connected mailbox. In Outreach, the tabs over the list are the stages you work: "Needs review", "Ready to launch", "Needs you" and "In flight". The "More" menu holds the stages you look up: "Sending", "In conversation", "Replied", "Done", "No reply", "Parked" and "All". Each shows its count, and "Needs you" turns amber while it holds anything.
| Stage | What it holds | What moves it |
|---|---|---|
| Needs review | Drafts waiting for you to read them. Nothing sends. | A new draft lands here: from a promotion, a rule, a sequence you start from a page, or "Try a new angle". Any edit, rewrite or sender change on a signed-off draft sends it back here. "Mark <Name> reviewed" moves it on. |
| Ready to launch | Drafts you signed off. Launch shows the send plan first. | Marking a draft reviewed, here or in the deck. Clicking the "Reviewed" chip moves it back. "Launch <Name>…" takes it live. |
| Parked | Drafts you set aside. They stay out of Needs review, Ready to launch, All and the deck. | "Park", or "Choose the page" when one person is the contact on several pages. "Bring back" returns a draft to the stage it left. |
| Needs you | Launched sequences waiting on a decision: a bounce, a failed send, an email whose delivery is unknown, a paused sequence with nothing to resume it, or a reply nobody has decided on. | The event that needs you, including a reply your reply monitoring rules flag. It clears when you decide: triage the reply, press "It was sent" or "It wasn't, send it", resume or stop. |
| In flight | Every launched sequence that is not done: sending, waiting on you, in conversation or replied. Most recently active first. | Launch. It leaves when the sequence is done. |
| Sending | Live on its schedule, so the next email really goes. An out-of-office pause that resumes on its own waits here with its "Resumes" date. | Launch or "Resume sending". "Pause" or a reply takes it out. |
| In conversation | They replied or you wrote by hand, so no follow-up goes on its own. The chip reads "In conversation · follow-ups off". | A person writing on the thread. "Resume" sends the next follow-up anyway, after a confirmation ("You are already talking to them"). |
| Replied | Stopped by their reply. Bounces do not count. | Their reply, which skips the emails not sent yet. "Resume" puts it back on its schedule, which counts as your decision to keep pitching. |
| Done | Every step sent, or stopped by hand. | The last email going out, or "Stop this sequence…". A stopped sequence cannot be resumed. |
| No reply | Finished sequences where every email went and nobody answered. Each offers a new angle, someone else at the publisher, or LinkedIn. | The last email going out with no answer. A reply that arrives later moves it to Replied. |
| All | Every draft in play and every launched sequence. Parked drafts wait under Parked. | Nothing. It is the whole list. |
The status chip on a sequence
Away from the Outreach list, a sequence shows one status chip: on Inbox rows, in the Inbox's "Sequence" section, on Tracker cards and in a page's Sequences list in the detail panel.
- Draft: not launched yet, so nothing has been sent.
- Sending: live on its schedule. The detail panel calls it "Active".
- Paused: held. Nothing sends until it resumes.
- Completed: every step in the sequence has been sent.
- Stopped: stopped by hand.
- Replied: their reply stopped the sequence.
- Bounced: an email bounced, so delivery failed.
On Tracker cards (launched sequences only) the chip reads "In conversation · follow-ups off" while a person is writing on the thread. The Tracker filters the same sequences as "All", "Needs you", "Sending", "Sent" (at least one email went out), "Replied" and "Done". See The tracker and calendar.
Posts
Replies in cited threads, new posts, listings and profiles have three stages of their own under Outreach, then Posts: "To do" (drafted, for you to post from your own account), "Done" (you marked it posted, submitted or claimed) and "Skipped" (you skipped it). "Reopen" brings a done or skipped post back under To do. It still counts as sent, and any win it made stays. See Posts, replies and listings.
Conversation states
A conversation lands in the Inbox once its sequence's first email is sent. Each row carries one state chip. When there is a turn to take, the chip says whose it is; otherwise it shows the sequence's status chip. A tone chip ("Positive", "Neutral" or "Negative") joins it once the AI has read the latest reply.
| State | What it means | What moves it |
|---|---|---|
| Needs reply | They wrote last, so it is your turn. These come first in the list. | Their reply. Sending yours moves it to Awaiting. An out-of-office auto-reply or a bounce never makes it your turn. |
| Unmatched reply | Someone else at the publisher wrote after your last message, outside the thread. Usually a colleague the contact passed you to. | "Attach to this conversation" makes the email part of the thread. "Not this conversation" takes it off the list. The email stays in your mailbox either way. |
| Awaiting (days since you wrote) | You wrote last. The chip adds the number of days since. | Sending a message. Their reply moves it to Needs reply. |
| Nudge? (with the day count) | They replied before, you wrote last, and the wait has reached your reply reminder setting in working days. Press the chip to open the thread with a follow-up drafted. | The wait reaching your setting. Sending a nudge, or any message, starts a new wait. Their reply moves it to Needs reply. |
| Awaiting triage (accent dot) | A reply nobody has decided on yet. | A real reply. It clears when you triage the reply or press "Mark as win". |
"Needs reply", "Awaiting" and "All" are always on screen as filters. The "More" menu adds "Needs a nudge", "Unmatched", "Replies" (every conversation with a real reply, triaged or not), "To triage", "Bounced" and "Sending". Three details change what you see:
- The "Needs reply" filter also lists rows marked "Unmatched reply".
- The "Awaiting" filter lists only conversations where they had replied before. A pitch nobody answered keeps its "Awaiting" chip but stays out of the filter, since its own sequence follows it up.
- "Nudge?" never shows while a sequence is still sending its own follow-ups, or once the page is closed (Live placement, Lost, Parked, Rejected or Live already). Reply reminders are 4 working days by default, counted Monday to Friday; 0 turns them off.
Triage outcomes
In the rail's "Triage" section, "What did this reply mean?" offers four answers. Each also decides what happens to the page.
- Interested: the page stays where it is, and the reply leaves your to-triage list.
- Agreed: the page moves to "Agreed to place". It becomes a win once the page is confirmed live, by a placement check or by you.
- Lost: the page moves to "Lost". You can reopen it from the Opportunities table.
- Do not contact: you confirm first. The page moves to "Lost", and every send from your organization refuses the address that replied (and the address you pitched, when they differ). You can still reply inside the thread. See Do not contact.
"Mark as win" settles an undecided reply too. The rail reads "Triaged · Live placement." and the page moves to "Live placement".
From pitch to win
The three sets move together. A typical page goes like this:
- You promote a page. It reads "Promoting…", then "Outreach ready", and its draft lands under Needs review.
- You mark the draft reviewed (Ready to launch) and launch it (Sending, In flight).
- The first email goes out. The page moves to "Pitched", and the conversation appears in the Inbox. A follow-up moves the page to "Follow up".
- They reply. The sequence stops ("Replied", under Needs you), and the conversation reads "Needs reply" with the accent dot.
- You answer and triage it as "Agreed". The page moves to "Agreed to place".
- The page goes live. You press "Mark as win", or the win is confirmed on the Wins report, and the page moves to "Live placement".
Good to know
- Every status change you make is written to the page's History as "Status changed", with any reason you typed.
- Disconnecting a mailbox asks what happens to its outreach. "Move it to another mailbox" sends its drafts back to Needs review with the new sender. "Stop it" stops its live sequences and skips the emails not sent. Reconnecting the same address instead keeps its drafts exactly as they were. See Mailboxes.
- The "Untouched" chip in Opportunities shows pages still at New or AI reviewed that were never promoted and are not pinned. "Maybe" in Review by hand changes no status, so a page you passed stays untouched.
