Reviewing and launching

Every drafted pitch waits for you twice: once under Needs review to read and sign off, once under Ready to launch to send. Nothing goes out until you launch it, or Spot or your agent does where you set "Emails and posts to publishers" to Apply at once.

Every pitch the autopilot drafts waits for you twice: once to read it, once to launch it. Both checkpoints live on the Outreach page, under the first two stage tabs, "Needs review" and "Ready to launch". Nothing sends while a draft sits in either stage.

You use the review queue whenever drafts arrive: after you promote a page from Opportunities, or after an auto-promotion rule promotes one for you. Read the draft, fix what needs fixing, sign it off, then launch it with the send plan in front of you.

What you see

The queue head shows the stages you work as tabs with counts: "Needs review", "Ready to launch", "Needs you" and "In flight". The legend under "How outreach flows" explains each one. For the two review stages it reads: "Drafts waiting for you to read them. Marking one reviewed sends nothing." and "Drafts you signed off. Launch shows the send plan first."

Rows are grouped by publisher, then by page: the page title, "to <person>" and the domain. A second person at the same page is an indented sub-row. A row that cannot launch says the fix in words. One state chip appears only when it adds something the stage does not, such as "Sender disconnected".

Pick a row and it opens in the window beside the list (a full-screen sheet on a phone): who the pitch goes to, which mailbox it sends from, one tab per email ("Initial", "Follow-up 1" and so on) with its timing, the email itself, and the sign-off line ("+ signature at send"). The "Why this page" pane sits beside it with the page's priority, the editorial hook and the tracked prompts whose AI answers cite the page. Sequences covers the window in full.

Needs review

A draft under Needs review is yours to read. The action bar offers "Edit", a more menu ("Mark all N at this page reviewed" when the page has more than one draft, "Research contacts for this page", "Park this draft", "Discard draft") and the stage's verb, "Mark <Name> reviewed". Its tip says what happens: "Sign off this draft’s content. It moves to Ready to launch, and nothing sends yet."

Before you sign off, you can edit any email inline, rewrite one email or every email, switch or add recipients, pick the sender and set the sequence's timing from the "Sends" chip. A draft saves your typed text before any sign-off, launch, switch or park.

Two warnings flag copy to fix before you sign off. A draft that uses wording your Never list bans shows a banner on the email, and the bar reads "Banned wording: … Edit it out or rewrite the email before signing off." A wrong name shows "Fix the name, or rewrite this email for them." Neither warning stops the sign-off button, so read them before you press it.

Ready to launch

A draft you signed off waits here with a "Reviewed" chip. The chip's tip is the rule: "You signed off the emails on screen. Any edit, rewrite or sender change clears it. Click to move it back to Needs review." Timing is not copy, so changing send days or a start date keeps the sign-off.

The bar offers "Edit", a more menu ("Launch all N at this page…" when more than one is ready, research, park, discard), the chip, and "Launch <Name>…" ("Shows exactly what will happen, then schedules the first email.").

When a draft cannot launch, the button is held and a verdict line says why. The row in the list says the fix.

The row saysThe fix
The sender cannot send. Pick another.Choose a connected, active mailbox in the From line, or reconnect the mailbox under Settings, then Mailboxes.
No contact yet. Pick a person.Open "Recipients" or "Find a person" and choose, research or add someone.
Email failed verification. Fix the address.Replace the address. Only "Failed" blocks a launch; "Accept-all", "Risky" and "Unchecked" addresses can still launch.
Nothing written yet. Add a subject and body.Edit the draft so at least one email has both.

Some refusals come from outside the draft, so editing it does not clear them:

  • An address or domain on your do not contact list. The launch is refused and the message names the entry. Revoke it under Settings, then Do not contact, if it is wrong.
  • A draft addressed to a platform's own staff ("Addressed to Reddit’s own staff. A thread is reached by posting in it, so this draft can’t launch."). A thread page is handled as a post instead.
  • A person already getting your pitch for another page. Use "Choose the page" to keep one page for them, or stop that sequence first.

How to review and launch one draft

  1. Open Outreach. Under "Needs review", pick a row (↑ and ↓, or j and k, move the selection; Enter opens).
  2. Read the emails with "Why this page" open beside them. Edit, rewrite, change the recipient or the sender, or set the timing from the "Sends" chip.
  3. Press "Mark <Name> reviewed". The draft moves to Ready to launch and the next row opens.
  4. When you are ready to send, open "Ready to launch", pick the row and press "Launch <Name>…".
  5. Read the send plan in the launch confirmation, then press "Launch sequence". The toast confirms: "Launched 1 sequence: first email sends on schedule".

The sequence now appears under "In flight" and on the tracker. Replies land in the inbox.

The launch confirmation

The dialog is the last checkpoint before anything is scheduled. It opens as "Launch this sequence?" or "Launch N sequences?" and says: "This is the point of no return for scheduling: each sequence goes live and its first email is booked for the time shown (later emails follow their waits and your send rules). Replies stop a sequence automatically."

One card per sequence shows the recipient and domain, "from <mailbox> · N emails · sends <timing>", and "First email: <day, date, time> (<time zone>)". A line under the cards explains the time: it is the earliest slot the start date, the sequence's timing, the project window and the mailbox hours allow, in the mailbox's time zone. The mailbox's daily cap and emails already queued ahead can push the actual send later; the tracker shows the queue-aware time after launch. Sending schedule and limits explains each of those settings.

Three buttons:

  • "Cancel" closes the dialog. Nothing changes.
  • "Launch sequence" (or "Launch N sequences") books the first emails for the times shown.
  • "Launch & send now" appears for a single sequence only: "Launches and sends the first email now, outside the send window and the daily cap." The toast reads "Launched: first email sent".

Launching many at once

  1. Check a draft row (or press Space on it). The selection bar replaces the tabs: "N selected". To select the whole stage, press the checkbox at the head of the bar.
  2. Use the calendar button ("Timing for N") to change the send days and time, the follow-up waits or the start date for every checked draft. The dialog says "Only the blocks you check change. Review signoffs are kept: timing is not copy." Press "Apply to N".
  3. Use "Research" to find more people at the checked pages, "Park" to set drafts aside, or "More actions" for "Rewrite selected (N). They lose their sign-off." and "Discard selected (N)".
  4. Under Needs review, press "Mark N reviewed" ("Sign off the content of the selected drafts. Nothing sends yet."). The toast reads "N marked reviewed, now under Ready to launch" with an "Open Ready to launch" button.
  5. Under Ready to launch, check the drafts and press "Launch N…". The count is only the drafts that can launch; when none can, the tip reads "None of the selected drafts can launch yet: open each to see why." Here the More actions menu also offers "Un-review selected (N)".
  6. Confirm in the launch dialog. The toast reads "Launched N: first emails send on schedule", and any draft that could not launch is named: "N skipped (open each to fix it): <reason>".

Discarding asks first: "Discard N drafts to N publishers?" The opening email and every follow-up are deleted and cannot be brought back. Parked drafts can: on the "Parked" stage, "Bring back N" returns each to the stage it left.

Stranded drafts

A draft sends from one mailbox. When that mailbox can no longer send, a note appears above the rows: "N drafts wait on <mailbox>, whose authorization expired." (or "still connecting", or "no longer connected"). The drafts stay visible and the launch button stays held, with the reason in words, so nothing moves behind your back.

The note offers the way out that fits, and its "Stranded drafts" explainer says to try reconnecting first:

  • When the authorization expired, "Reconnect…" takes you to Settings, then Mailboxes, to re-authorize the same address. The drafts stay exactly as they are, sign-off included.
  • When the mailbox is still connecting or no longer connected, "Re-home…" opens "Re-home stranded drafts". Pick a connected mailbox under "Send them from" and press "Move every stranded draft". Every draft in the project that still sends from the old address moves; sequences already sending are untouched. Every moved draft goes back to Needs review (a parked one stays under Parked): the sign-off name and signature belong to the sender, so the copy has to be read once more before it launches. This cannot be undone in bulk.

Connecting and reconnecting mailboxes is covered in Mailboxes.

Deciding faster in Autopilot

Under the Needs review list sits the link "Decide faster in Autopilot". Its tip: "Clear these same drafts one card at a time in the Autopilot’s Decision Deck: approve, edit or skip with a single key, and approvals land back here under Ready to launch."

On the deck, each draft is an "Approve draft" card: one tab per recipient at the publisher, the opening email as it will land with your signature, the follow-ups and their waits, and the same banned-wording and wrong-name warnings. The keys are printed on the buttons: A for "Mark reviewed" (or "Mark N reviewed" when several recipients are switched on), E to edit and then "Save & approve", R to rewrite, S to skip the card until later today, X to discard the draft. The deck never launches. When you clear it, "That's everything for today." offers "Open Ready to launch", which brings you back here to launch what you approved. The deck covers the other cards.

Good to know

  • Marking a draft reviewed, parking it or changing its timing never sends anything. For a draft, only launch books an email, and only "Launch & send now" sends one at once.
  • Clicking the "Reviewed" chip moves a draft back to Needs review. Use "Un-review selected" for several at once.
  • Signatures are added at send, never baked into the draft. The sign-off line shows the first line of the signature, or says that none is set on the mailbox.
  • An empty Needs review stage says "You’ve reviewed everything." and, when drafts wait on the other side, "N drafts wait under Ready to launch." with an "Open Ready to launch" button. An empty Ready to launch says "Nothing is reviewed yet." with "Open Needs review" when there is reading to do.
