# Sharing, printing and briefings

> Send a client the live report as a read-only link or a PDF with your organization's name on it, and share the written briefing your team gets every Monday.

sourcesignal documentation, Reports. Updated 2026-10-22. The page for people: https://www.sourcesignal.ai/docs/reports/sharing-printing-and-briefings. Every article: https://www.sourcesignal.ai/llms.txt

Reports leave the app in three forms. A share link opens the live report for a client, read-only and white-labeled. A PDF is a document you compose and download. The period briefing is an AI analyst's written read of what changed, made for your team, which you can print or share by link.

Use this page when you prepare a client review, send a monthly update or want a record of a period.

## Ways to send a report

| You want to | Use | Where to start |
|---|---|---|
| Give a client the live report | A share link | "Share report" on the Overview |
| Send a fixed document | A PDF | "Export PDF" on the Overview |
| Let a client print the report | The print view | "Print / save as PDF" on the shared page |
| Share the written briefing | A briefing link | "Share" on the briefing |

## Share the live report

1. Set the view you want the client to open on: the period, the filters and the competitor lines on the charts.
2. On the Overview, press "Share report".
3. Add a label if you like (up to 80 characters, for example "Monthly review") and press "Create link". The link is copied to your clipboard.
4. Send it. The client needs no account.

The dialog lists every link with its label, its view count and the day it was last viewed. "Copy link" and "Open" carry the view you have open now. "Revoke" switches a link off at once: it answers not-found from then on and moves under "Revoked".

### What the client sees

- A header that reads "AI visibility report · Prepared by" your organization's name, the brand as the title, the period with "complete days, computed live", and a "Print / save as PDF" button.
- The same six screens and filter bar as the app. The client can change filters, switch tabs and turn chart lines on and off. The wins screen is called "Wins" here.
- Your agency commentary, when you have written one.
- Your verified wins with their movement and evidence.

### What stays inside the app

- Agreed placements, placements awaiting a live check, "The pitch" and "They said" lines, and the win menus.
- The visibility lift after pitching and your working lists.
- The connect buttons on Traffic & search. The explanations stay; the buttons do not.
- Internal analysis, including the briefing.

> **Tip:** A share link is a door to the live report, not a copy. Every view computes the numbers fresh, so new data and fixes show up in links you already sent. When a client needs a fixed record of a month, send a PDF as well.

## Export a PDF

1. Set the filters and chart lines you want in the document.
2. On the Overview, press "Export PDF".
3. Leave "Prepared by (defaults to your organization)" blank to use your organization's name, or type another byline, up to 80 characters.
4. Arrange the sections by dragging them or with the arrows: Overview & visibility trend, Impact timeline, Topics, Competitors, Traffic & search and Delivered wins. "Cover & commentary" always comes first.
5. Set each section to full width, 2 columns or 3 columns. The text size stays the same; the section takes less page.
6. Leave a section out with its exclude button. It waits under "Not included" until you add it back.
7. Press "Generate PDF". Each section gets a check as it finishes, then "Assembling the document…" appears. The file downloads when it is assembled; keep the dialog open to press "Download again".

The PDF is on A4 pages, and every section starts a new page. The cover shows the brand, the period, "Prepared by" and the issue date, with a line saying that movement after a placement is reported as association, never as proof of cause. Lists the app folds, such as the competitor ranking, print every row. Agreed placements and pending checks never print.

## Print from a share link

Anyone reading a shared report can press "Print / save as PDF". It opens the whole report as one stacked document, with the filters and chart lines of the view on screen. Use the browser's Print menu, then Save as PDF. Each print counts as a view on your link.

## Your name on the report

The share link and the PDF carry your organization's name, not sourcesignal's.

- "Prepared by" on the shared page and on the PDF cover is your organization's name. Owners and admins change it in Settings, then Organization (see [Organization settings](https://www.sourcesignal.ai/docs/account-and-billing/organization-settings.md)).
- The PDF byline can change for one export without renaming anything.
- "Agency commentary" puts your own read of the period on the Overview, the share link and the PDF. Press "Add agency commentary" on the Overview (or "Edit" on the card), write up to 4,000 characters and press "Save". A blank line starts a new paragraph.

Every plan includes the report. The reports tier on [Plans and limits](https://www.sourcesignal.ai/docs/account-and-billing/plans-and-limits.md) and the [pricing page](https://www.sourcesignal.ai/pricing) says what each plan adds to sharing it.

## The period briefing

The briefing is an AI analyst's written read of the last 7, 30 or 90 days against the window before. It sits with your team's own analysis: open Reports, then "Internal analysis", then "Briefing", and pick 7d, 30d or 90d.

A briefing holds:

- A headline and a subhead.
- "Top movers". A mover that is a website opens its [citation source page](https://www.sourcesignal.ai/docs/reports/citation-sources.md).
- "Priorities", each with a reason, a recommended action and the analyst's own labels: the kind of work (such as Outreach or Content), a route, a traffic light and its stated confidence. These are judgments, not computed statistics.
- "Risks", each with a suggested response.
- "Next steps".
- "What worked this week", on the weekly briefing.
- A "Rationale" disclosure and the time it was generated.

What you can do with it:

- Press "Generate briefing" when none exists, or "Regenerate" for a fresh read. The screen estimates about 15 seconds. If generation is refused, the message says why.
- Press "Export", then "Download CSV" or "Print / Save as PDF". The print page opens in a new tab for signed-in members; save it from the browser's Print menu.
- Press "Share", pick an expiry (Never, 7 days, 30 days or 90 days) and press "Create link". The link is copied. "Existing links" lists each one with copy, open and revoke, and marks the ones revoked or expired.

> **Heads up:** A briefing link is public. Anyone with it can read the briefing without signing in, and the page does not carry your organization's name the way a report link does. The briefing is written for your team, so read it before you send it to a client.

## The weekly summary

Every Monday morning a fresh 7-day, 30-day and 90-day briefing is written for every active project, and each replaces the one before. Archived and paused projects are skipped, and so are projects in a paused account. The run shows as "Weekly briefing" in the [engine room](https://www.sourcesignal.ai/docs/autopilot/the-engine-room-and-pipeline.md).

The 7-day briefing written on Monday carries the weekly summary, "What worked this week": a paragraph and a few highlights that set the week's outreach beside the visibility movement on the pages you pitched. When too few pitched pages have moved to tell, it says so instead of guessing. With no recent outreach at all, the section is left out. Read it as association: mentions that rose after a pitch, not mentions a pitch caused.

Regenerating the 7-day briefing yourself replaces it with one that does not carry this section. The next Monday's briefing brings it back.

## When a link stops working

- A revoked, expired or unknown link answers not-found.
- While your account is hidden or paused, a shared report or briefing shows only "This report is not available right now." Nothing is deleted, and the link opens again once the account is back. [Trial and billing](https://www.sourcesignal.ai/docs/account-and-billing/trial-and-billing.md) explains both stages.
- While your account is hidden or paused, the PDF export is refused with a message that points you to Billing.

## Good to know

- Shared report pages are never indexed by search engines.
- Every view and every print of a shared report adds to its view count.
- A report link has no expiry. It works until you revoke it.
- Your agent can make a report or briefing link, turn one off and write the agency commentary for you. Each is a change card you apply, unless you let your agent make that kind of change on its own, and a link it makes expires in 30 days unless you ask for another length. A link that never expires always waits for you. See [Change cards: apply and undo](https://www.sourcesignal.ai/docs/spot-and-agents/change-cards-apply-and-undo.md).
- A snapshot's briefing has the same "Export" and "Share" buttons. See [Snapshots](https://www.sourcesignal.ai/docs/tracking/snapshots.md).
- Your agent can write a fresh briefing for you (a snapshot's, a period's or the strategist's), the same as "Generate" on its panel: it replaces the one before, which stays in history. It is a change card you apply, unless you let your agent do that kind of work on its own.
