# Bulk actions and promoting to outreach

> Check rows in the Opportunities table and the selection bar acts on all of them at once: promote them to outreach, find contacts, approve, park, reject, or rerun an AI step. Promoting creates drafts that wait for your approval; nothing sends.

sourcesignal documentation, Opportunities. Updated 2026-10-22. The page for people: https://www.sourcesignal.ai/docs/opportunities/bulk-actions-and-promoting-to-outreach. Every article: https://www.sourcesignal.ai/llms.txt

The selection bar appears the moment you check a row in the Opportunities table. It acts on every selected page at once: hand them to outreach, find who to pitch, turn them down, record that your brand is already there, or rerun one AI step on just those pages.

Use it once a filtered view has given you a set you have already judged: the high-priority pages of one topic, the pages a Strategist card pointed at, or every page still missing a draft. For one page at a time, the Status dropdown in the row or the [detail panel](https://www.sourcesignal.ai/docs/opportunities/the-detail-panel.md) does the same work.

## Selecting pages

- Check rows one by one, or check the box in the table header ("Select all rows").
- Pick a shortcut from the "Select" menu above the table: "Ungrouped", "Unscored", "Unclassified", "No recommendations", "No drafts" or "No gap detail". A pick replaces your selection and runs nothing by itself.
- Follow a card in the [Strategist panel](https://www.sourcesignal.ai/docs/opportunities/the-strategist-panel.md). The table opens with the matching pages already selected.
- On a phone, use "Select shown".

The bar reads "N pages selected". Your selection survives a filter change, so you can narrow the table, add more, and narrow again. When some selected pages are hidden by the current filters the bar says so: "N pages selected but hidden by the current filters. Actions leave them alone." Press "Include all N" to act on them too; the bar then reads "Acting on all N selected pages (N pages hidden by the current filters included)." with "Act on the shown only" to go back. If every selected page is hidden, the bar stays up and reads "None of the N selected pages are in this view". The X at the right end clears the selection.

## What you can do

| Button | What it does |
|---|---|
| "Promote to outreach" | Finds a contact and drafts a sequence for each page. Drafts wait for your approval on the Outreach page. |
| "Find contacts" | Researches who to pitch at each page's publisher and saves the contacts it finds. |
| "Reject" | Turns the pages down before any outreach. They leave the default view; the pages are not deleted. |
| "Live already" | Records that your brand was already on the page. Not a win. |
| "Generate drafts", "Score priority", "Recommend outreach", "Group pages", "Re-classify" | Rerun one AI step over the selection. |
| "More actions" | "Set status", "Assign owner", "Pin to propose", "Unpin", and any AI step a narrower screen moved under "Research and enrichment". |

## How to promote a selection to outreach

1. Select the pages. "Promote to outreach" needs a connected mailbox; without one the bar reads "Connect a mailbox to promote this selection to outreach." See [Mailboxes](https://www.sourcesignal.ai/docs/account-and-billing/mailboxes.md).
2. Press "Promote to outreach". The dialog "Promote N opportunities to outreach?" says what happens: for each page a contact is resolved (researched if none exists yet) and the AI drafts an email sequence. Drafts land in the Outreach review queue. Nothing sends until you approve, or Spot or your agent launches the draft where you set "Emails and posts to publishers" to Apply at once.
3. Choose "Send from". The project's default sender is preselected, and the line under it names the signature those drafts will carry. Another mailbox signs with its own default.
4. Press "Queue drafts". The toast reads "Promoting N opportunities. Drafts will appear in the Outreach review queue for your approval." The engine bar at the foot of the page narrates the work as it runs.

### What promote does to each page

- The row's Status cell reads "Promoting…" while the page is prepared (hover: "Being prepared for outreach. It moves to Outreach ready once it has a contact and a draft.").
- Some pages wait their turn for research, for example in a large batch or once today's research allowance is used. Their contacts are researched just before each page reaches you, so nothing is researched that you never see. While a page waits, its Contacts cell reads "Finding a contact · queued", then "Finding a contact…" while research runs.
- A page with a contact and a draft moves to "Outreach ready". Its draft waits under "Needs review" on the Outreach page, where you read it and mark it reviewed, then launch it from "Ready to launch"; see [Reviewing and launching](https://www.sourcesignal.ai/docs/outreach/reviewing-and-launching.md). The [deck](https://www.sourcesignal.ai/docs/autopilot/the-deck.md) clears the same drafts one card at a time.
- A page where nobody could be found moves to "Contact needed". The masthead counts it under "need a contact"; add or research a contact from its detail panel.
- A thread, a directory or a review platform is drafted as a post instead of an email: "N are threads or listings, drafted as posts under Outreach, Posts." You publish those yourself; see [Posts, replies and listings](https://www.sourcesignal.ai/docs/outreach/posts-replies-and-listings.md).
- A page already promoted is skipped: "N skipped: already promoted (draft in progress or in the review queue)." A page counts as already promoted while its draft or sequence is still open, or in the half hour after a promote. A page already pitched keeps its status; promotion never moves a page backwards.
- Pages held back are named in the toast: social posts or videos (reached through their authors), pages nothing is drafted for (wikis, code hosts, archived threads, or sites that remove AI-written or business posts), threads past today's three drafts per site (they wait until tomorrow), pages waiting for research because today's research allowance or this month's email verifications are used, and pages whose contact already has your pitch for another page (they wait their turn).
- Promote takes at most 300 pages per press: "Promote 300 or fewer opportunities at a time". Select fewer and press again for the next batch.
- The page's History records "Promoted to outreach" or "Promote: needs contact". A page that "Already links to you" is skipped by [auto-promotion rules](https://www.sourcesignal.ai/docs/outreach/auto-promotion-and-reply-rules.md) but promotes by hand like any other.

> **Note:** Nothing in the selection bar sends an email. Promote writes drafts; you sign them off and launch them on the Outreach page.

## How to find contacts for a set

1. Select the pages and press "Find contacts".
2. The dialog "Find contacts for N opportunities?" says research runs in the background. Press "Queue research". Research saves every person it finds with a name or an email. A low-confidence match is saved too, and its note says so.
3. The toast reads "Researching N opportunities in the background (~a few minutes). Found contacts save into each opportunity's Contacts panel. Refresh to see them."
4. Open a page's detail panel, Outreach tab, to see what was found. Each saved contact shows its address with a verification chip, its role and a short note from research, which flags a low-confidence match or an address guessed from the site's pattern. "Reused" marks a contact found by earlier research.

What limits a press:

- At most 300 pages: "Select 300 or fewer opportunities at a time".
- Research is paced by a daily research allowance per project, set by your [plan](https://www.sourcesignal.ai/docs/account-and-billing/plans-and-limits.md), and by the account's monthly email verifications. When the day's allowance is used the refusal says so and names when research picks up again (00:00 UTC); when it has room for fewer pages than you selected, it tells you how many to select. When the month's verifications may run out first, the toast adds that the pages left wait for the date they renew.
- Threads, social posts and listings are never researched, so they are left out of the press. When every selected page is one, the press is refused: "These pages are threads, social posts or listings, reached by posting or through their author, so nobody is researched for them." Pages a steering rule switched off are left out too; when that is every page, the refusal says to end the rule to research them.

Research verifies each address as it saves it, which is what the monthly email verifications count. The selection bar has no verify button: to check one address, open the page's detail panel and press "Verify email" beside a contact that has not been checked yet. Only a failed verification blocks a launch. See [Contacts and verification](https://www.sourcesignal.ai/docs/outreach/contacts-and-verification.md).

## How to approve, park, reject or mark live already

- **Approve.** Open "More actions", "Set status", "Approved". Approved pages are where the autopilot and your deck pick up from. Review by hand does the same one page at a time with the A key.
- **Park.** "Set status", "Parked". Parked pages leave the default view and stay one check away in the Stage filter.
- **Reject.** Press "Reject". The dialog "Reject N opportunities?" says they leave the active pipeline and the default table view, and that nothing is deleted: find them under the Rejected filter and reopen one by changing its status. Type a reason under "Why? (optional)", up to 200 characters; it is saved with the status change in each page's History. Any outreach the rejection cancels is listed in the same dialog. The toast reads "N rejected".
- **Live already.** Press "Live already". The dialog "Mark N opportunities Live already?" says they leave the active pipeline and stay one checkbox away under the Live already filter: "Kept as a record that the brand was already on this page. This is not counted as a win. Record a win from the Wins tab if you placed it." Press "Mark Live already".

"Set status" offers every status you can set by hand: New, AI reviewed, Approved, Contact needed, Outreach ready, Pitched, Follow up, Agreed to place, Lost, Parked, Rejected and Live already. "Live placement" is never offered; it follows the win record, and pages on a live placement are left where they are by any bulk move. The statuses are explained in [Statuses and the review gate](https://www.sourcesignal.ai/docs/opportunities/statuses-and-the-review-gate.md).

> **Heads up:** Moving pages out of outreach (to New, AI reviewed, Approved, Contact needed, Parked, Lost, Rejected or Live already) cancels the outreach underneath. Drafts waiting for review are deleted and a sequence that has started is stopped, so nothing further sends. If an email has already gone out you are asked first (for example "Move N pages and stop their outreach?"), with "Move and stop outreach" to confirm. Emails that already went out stay on record. A page whose email is mid-flight stays where it is until the tracker confirms it, and one move covers at most 200 promoted pages.

## Running an AI step on a set

The strip above the table runs the whole AI review on everything still waiting. The selection bar lets you rerun one step on pages you chose, often paired with a "Select" shortcut: pick "Unscored", press "Score priority".

- "Group pages" sorts the page type. "Score priority" sets the 0 to 100 priority. "Recommend outreach" writes the recommended action and angle. "Re-classify" sets the opportunity type, recommended play and build light; it asks first ("Re-classify N opportunities?"). "Generate drafts" writes an initial draft for pages without one; "Existing drafts will not be overwritten."
- A progress strip in the selection bar shows the step, how many pages are done out of the total and a time estimate. "Cancel" stops after the current batch. When it finishes it reads the step's name with "complete" (for example "Scoring selected: complete"), the count, the time taken and, if any, how many errored.
- Each step takes at most 1,000 pages: "Select at most 1,000 pages to run research or generate drafts." Above that, the AI steps, "Promote to outreach" and "Find contacts" switch off; "Reject", "Live already" and "Set status" still work.

## Owners and pins

- "Assign owner" sets a teammate, or "No owner", on every selected page.
- "Pin to propose" and "Unpin" move the pins; the toasts read "N pinned" and "N unpinned". Pinned rows lead the table whatever the sort. A page a teammate already pinned keeps their initials, so the count can be lower than your selection.

## Good to know

- If every page you selected is already promoted, the press is refused. For one page it reads "Already promoted. Its draft is being prepared or already sits in the review queue. If it seems stuck, try again in half an hour." For several it reads "All N are already promoted" with the same advice.
- Promoted pages are counted in the masthead under "in outreach" and selected by the "In outreach" option of the Outreach filter group; see [The queue, views and filters](https://www.sourcesignal.ai/docs/opportunities/the-queue-views-and-filters.md).
- Every status change you make from the bar is your decision, and each page's History records it with the time, the move from one status to the next and any reason you typed.
