# Members and roles

> Owners, admins and members can each do different things in a workspace. This page covers inviting a teammate or another user, choosing their role and projects, sharing ownership, leaving and how seats count.

Members is where you see who is on your workspace's team and what each person can reach. Owners and admins use it to invite people, set roles and choose which projects a member sees. Everyone can open it to check their own access, or to leave.

To open it, choose "Account settings" in the account menu (top right), then the "Members" tab.

## The three roles

- **Owner.** Controls everything, including billing, ownership and deleting the organization. A workspace always keeps at least one owner.
- **Admin.** Manages the team and billing: invites people, changes roles up to admin, removes members and admins, and chooses which projects members see.
- **Member.** Works in projects. A member sees every project by default, unless an owner or admin narrows them to specific ones.

Nobody can assign a role above their own. The "Roles" hint on each row sums this up.

| What | Owner | Admin | Member |
|---|---|---|---|
| Work in projects | Every project | Every project | Every project, or the ones assigned |
| Invite people | Any role | Member or admin | No |
| Change someone's role | Anyone else, owners included | Members and admins | No |
| Make someone an owner | Yes | No | No |
| Remove someone | Anyone else | Members and admins | No |
| Choose a member's projects | Yes | Yes | No |
| Choose, change or cancel the plan, pay an invoice | Yes | Yes | No, sees the plan |
| Rename the organization, save the Ahrefs API token, download your data | Yes | Yes | No |
| Archive or delete a project, change its AI engines or fee policy, connect Google Analytics 4 and Search Console | Yes | Yes | No |
| Ask Spot about the account itself (its members, its usage from outside a project) | Yes | Yes | No, about the projects they work on |
| Delete the organization | Yes | No | No |

## What you see

The "Team members" card lists everyone, with a count such as "4 people". Each row shows:

- The person's name, or their email when they have not set a name, with "(you)" on your own row.
- Their email and the date they joined.
- A Projects chip: "All projects", a count such as "3 of 15", or "No projects" in warning ink. Owners and admins see it on every row. A member sees it only on their own.
- Their role: a dropdown on the rows you may manage, a badge everywhere else. An owner's badge carries a crown.
- "Make owner" (a crown button, for owners) and "Remove" (a person icon with a minus sign), where you have the right.

Owners and admins also see the "Invite people" card, with pending invites underneath.

## How to invite someone

1. On Members, go to "Invite people".
2. Type their email to send the invite by email. Leave it empty to make a link invite instead.
3. Pick a role at or below your own. It starts on Member.
4. For a member, open the Projects chip to narrow what they will see. Owner and admin invites always get every project.
5. Press "Invite". With an email you see "Invitation emailed". Without one you see "Invite link ready. Copy it below". Either way the link appears in a box with "Copy".

The email names your workspace and the role, and its "Accept invitation" button opens the invite page. There the person checks the workspace and role and presses "Accept invite". Without an account yet, they create one (or sign in) and come straight back. A member invited to chosen projects sees only those, from their very first page.

> **Heads up:** A link invite carries no address. Anyone who has the link can accept it. Send it only to the person you mean, and revoke it if it goes astray.

An invite sent to an email can only be accepted by an account signed in with that email. Anyone signed in with another address sees "Wrong account" and a button to sign out and use the invited address. The link waits for them.

## Pending invites

Each invite not yet accepted stays under "Pending", with its email (or "Link invite"), its role and the time left ("expires tomorrow" or "5d left"). An invite expires 7 days after you create it and works once. An expired invite drops off the list on its own. To withdraw one sooner, press the ✕ beside it. You see "Invite revoked".

Where your plan caps seats (a trial does), a pending invite holds a seat until it is accepted, revoked or expires. Revoking one you no longer need frees room for someone else.

## How to choose which projects a member sees

1. Press the Projects chip on a member's row.
2. Uncheck "All projects" to start from none, or uncheck single projects to drop just those. The footer shows the result, such as "3 of 15".
3. Press "Done". The change saves when the list closes.

Everything outside their projects disappears for them everywhere (the project switcher, reports, opportunities and outreach) from their next page load. "No projects" is allowed. It shows in warning ink, and the person sees no projects at all until you check one.

- A member on chosen projects does not get new projects automatically. Check the new project for them, or set them back to "All projects".
- A member on chosen projects cannot create a project. When they start one, the screen reads "An owner or admin adds new projects" and offers a way back to their projects.
- Owners and admins always see every project, so their chip is fixed. Making a member an admin gives them every project.

## Change a role or share ownership

- **Change a role.** Pick Member, Admin or Owner in the row's dropdown. You see "Role updated". Only an owner can grant Owner or change another owner's role, and nobody can change their own role.
- **Make someone an owner.** Press the crown "Make owner" on their row (owners only). You see "Ownership shared": you are both owners now.

> **Tip:** To hand the workspace over, make the new person an owner first. Then ask them to change your role to Admin or Member, or leave the organization yourself.

A workspace must keep at least one owner, so a change that would leave none is refused.

## Remove someone or leave

- **Remove someone.** Press "Remove" on their row and confirm. They lose access immediately, and the work they created stays in the workspace. Admins can remove members and admins. Only an owner can remove an owner.
- **Leave.** Press "Leave organization" and confirm "Leave". You lose access to the workspace and its projects. The app then opens the first workspace you joined, or the "Name your workspace" screen if you belong to no other. You can be re-invited later.

If you are the only owner, Leave is switched off and the dialog reads "You’re the only owner. Transfer ownership to someone else first."

## Seats

A seat is one person in your workspace. The Brand, Growth and Agency plans include unlimited seats. A trial includes up to 5, and members and pending invites count together. At the cap, an invite is refused with "Trials include up to 5 seats (members and pending invites). Choose a plan to add more." Revoke a pending invite, remove someone, or choose a plan to make room. See [Plans and limits](https://www.sourcesignal.ai/docs/account-and-billing/plans-and-limits.md) and [Trial and billing](https://www.sourcesignal.ai/docs/account-and-billing/trial-and-billing.md).

Your count shows as "Team seats" in the account menu, on the "Plan & usage" card of the Organization tab and in Billing. It counts the people on your team now. Pending invites are not in that number, but they count toward the cap when you invite more. Seats are a plan limit, so they never reset.

Seats are checked again when someone accepts. If the workspace has run out by then, or is paused, the invite page says so and asks them to check with the person who invited them. The same link works once there is room.

## Good to know

- Owners and admins receive the workspace's billing emails.
- Spot reads only what you can open. A member limited to two projects asks about those two, side by side too, and about the plan's limits that Billing shows everyone. Questions about the account itself, such as who its members are, are for owners and admins. See [Spot, the in-app agent](https://www.sourcesignal.ai/docs/spot-and-agents/spot-the-in-app-agent.md).
- A connected agent works under its holder's role and project access. If you remove someone, or an admin becomes a member, an agent token that needs the role they lost stops working. See [Agent scopes and limits](https://www.sourcesignal.ai/docs/spot-and-agents/agent-scopes-and-limits.md).
- You can belong to several workspaces, each with its own team and roles. The account switcher moves between them. See [Organization settings](https://www.sourcesignal.ai/docs/account-and-billing/organization-settings.md).
